Working with your Virtual Assistant

 

Are you ready to start using a Virtual Assistant to help your business grow and give yourself the freedom to focus your energy on growth ? Well, I must say that is fantastic! You are moving forward, and your V.A. is there to help.

Email marketing is a vital part of growing your following and is so important for a business’s marketing plan. This is something to consider outsourcing to your Virtual Assistant. Here are a few things a V.A. can set up for you to optimize your time!

 

With any project, there are a few things that will help your V.A. find the voice of your business and depict it as you would expect.

Information to Provide Your Virtual Assistant

·        Brand colors (#HEX or RGB), font, patterns and symbols

·        Access to Platforms such as Cloud sharing for Graphics/content

·        Strategy Documentation – This will help describe your tone, target market and goals

·        Access to your Email Marketing Platform

Have this all set? Great! Now it will be easy for your Virtual Assistant to move forward on your Email Marketing. Here’s what you can expect:

1.       Email Marketing Account Set-up (if needed)

After you have chosen which email marketing platform would suit your needs, your Virtual Assistant can now take over. This is where they will go in and complete registration, set-up your profile, link your platforms, and complete all required basic information for the account.

2.       Insert Names and Email Addresses

This can be easily uploaded with a spreadsheet or manually entered. (i.e. names and info collected from an expo or manual signup).

3.       Create a Template

What are you trying to tell your consumers when you reach out to them via Email? Your template can be cohesive and express your image. Having a template in place will make future email marketing easier and streamlined for consistency.

4.       Create Content

Finding a Virtual Assistant with copywriting abilities will be helpful. This will save your time as they will understand your voice and allow them to write the content for you! If this is a goal for you to outsource, be sure to provide a sample outline on what you want to communicate with your audience.

5.       Create Graphics

Adding images to an email will help to break up blocks of text. Having these graphics in line with your branding and voice of the email is important and another task that your V.A. will be able to add.

6.       Scheduling

After reviewing your Virtual Assistant’s content, template, branding and everything mentioned above, it is now time to release the content to your subscribers.

7.       Report Analytics

Feedback on how your email marketing is progressing can be discussed and reviewed. Performance reports can be broken down on emails that were opened, clicks, bounce rates, etc.

8.       Automation Set-Up

This. This is a very powerful tool to integrate into your business. Want to set up a 5-day email automation for a challenge or knowledge for your subscriber? A Welcome series? Follow-ups? To name a few, of course. A Virtual Assistant should be able to communicate your image through building and automating this set-up.
